Reports To: Director of Maui Operations Department

Maui Operations Location: Maui Baseyard (office-based, with local errands)

Employment Type: Full-Time Schedule, Monday – Friday

Salary: $60,000–$70,000/year

Position Summary

The Operations & Customer Care Administrator provides dedicated, direct support to the Director of Maui Operations, working day-to-day at their direction. This role is defined by time-sensitive data entry and data collection, ongoing organization and improvement of existing administrative systems, and full ownership of assigned projects and tasks from start to finish. The person in this role is expected to stay closely engaged with the details of daily work — tracking small recurring tasks and following through on assigned projects without requiring day-to-day oversight. Responsibilities also include maintaining an accurate inventory tracking system and handling local purchasing and supply runs as needed. The position serves as the Maui-based point of contact for a light, wholesale-focused stream of customer service work in coordination with the Business Team. This is a Monday–Friday position, based primarily on-site, with some flexibility for occasional work-from-home days when the schedule allows and with manager approval in advance. Success in this role requires strong attention to detail, the ability to take direction well, comfort receiving and applying constructive feedback, and the initiative to own projects rather than simply execute tasks.

Key Responsibilities

Administrative Systems & Data Management

• Perform time-sensitive data entry and data collection accurately and on schedule, following established procedures.

• Maintain existing administrative and operational systems, ensuring information stays current, accurate, and accessible.

• Review current systems and workflows on an ongoing basis; recommend and implement revisions to improve organization and usability.

• Reorganize and standardize records, files, and reference materials as directed.

Inventory Management

• Maintain the baseyard/supply inventory system, tracking stock levels and usage on an ongoing basis.

• Identify reorder needs proactively and keep inventory records accurate and current.

Project & Task Ownership

• Take full ownership of assigned projects and tasks from the Director of Maui Operations — not just executing

steps, but managing them through to completion.

• Manage a steady daily workload of small recurring tasks with consistent, reliable follow-through.

• Maintain an active rotation of concurrent projects, ranging widely in scope and complexity.

• Take direction clearly and apply it consistently, checking in appropriately without requiring repeated

oversight.

• Track task status and deadlines, flagging conflicts or delays proactively.

• Follow up independently to ensure assigned work is completed to standard and on time.

Customer Service (Hawaii)

• Serve as the Maui-based contact for a light volume of customer service inquiries covering all Hawaii-based

customers, with a primary focus on wholesale accounts.

• Report to the Customer Care Manager for updates and direction on customer service matters.

• Coordinate with the Business Team on wholesale customer communications, order-related questions, and

account follow-up.

• Escalate account or fulfillment issues to the appropriate team member when outside the scope of this role.

Business Team Coordination

• Act as a liaison between Maui Operations and the Business Team on wholesale customer matters.

• Relay relevant operational information to the Business Team and vice versa to keep both functions aligned.

Mail, Package Handling & Procurement Tracking

• Distribute incoming mail and packages accordingly across the team.

• Make runs to and from mail carriers as needed.

• Track down missing or delayed packages and resolve delivery issues.

• Keep tabs on incoming purchases and procurement orders, flagging delays or issues proactively.

General Office & Errands

• Maintain day-to-day office operations at the baseyard.

• Handle local purchasing, supply runs, and errands as needed in support of administrative or operational needs.

Qualifications

• Excellent communication skills, with the ability to work independently while providing frequent, clear

updates to the Director of Maui Operations and other team members.

• Highly detail-oriented, with demonstrated reliability on time-sensitive administrative work.

• Takes direction well and applies it accurately and consistently.

• Receptive to constructive criticism and able to adjust quickly without repeated correction.

• Able to take ownership of projects — managing them through to completion, not just completing assigned

steps.

• Strong organizational skills, with the ability to evaluate and improve existing systems rather than only

maintain them.

• Comfortable managing multiple concurrent tasks and projects with competing deadlines.

• Clear, professional written and verbal communication for customer-facing support.

• Comfortable with both desk-based work and physical tasks, and able to move between the two throughout the

day.

• Comfortable driving, running errands, and troubleshooting issues as they come up.

• Proficiency with, or ability to quickly learn, systems including Shopify, ShipBob, and Google Workspace

(Drive, Sheets, Docs, etc.), among others.

• Comfortable maintaining inventory tracking systems.

• A genuine desire to grow and develop new skills over time.

• Valid driver's license (for local errands).

Working Relationships

• Reports directly to the Director of Maui Operations, with frequent, close check-ins on active work.

• Reports to the Customer Care Manager for updates and direction on customer service matters.

• Regularly coordinates with the Business Team on wholesale customer service matters.

• May interact with other Maui Operations team members to support administrative systems in use across

departments.

Schedule & Work Location

• Monday through Friday, on-site at the Maui baseyard.

• Occasional work-from-home days may be available when the workload allows, with manager notice and

approval required in advance of the day.

Physical Requirements

• Must be able to stand and walk for periods of the day.
